Successfully Implement a Patient Portal!

When I started to implement a patient portal there were a few things I realized I needed to think about first.

1. Hardware and bandwidth:

One of the first things you have to consider is where is it going to run, on your own equipment or hosted? If in house, you will need a dedicate server (or two) depending on how many providers you have and what you expect in usage. This will use your internet connection, so make sure you have enough bandwidth to serve your practice plus additional for patient portal use. If you are using a hosted solution for your EMR and patient portal, you mainly have to worry about the cost of the additional servers and the bandwidth from your provider. Do not forget that your usage will increase over time!

2. Design:

Second thing to do is to figure out your design of the patient portal. If you have an existing website trying to mimic it can be difficult, but not impossible. Think on what will make easy to use to for your least technical patient. You want to make sure that they understand where to go to send messages, or fill out patient forms. Once you have settled on your design, start to fill in with content.

According to Healthcare IT a patient portal “is a web-based access point that allows doctors and patients to communicate and share health information remotely, supplementing the ongoing management of the patient’s care”.

Questions

select printer for handouts with MEL

We have a patient portal setup through Intuit Health at our practice that we use to send email messages and images/attachments to our patients.  To send handouts to the portal, we select a virtual 'printer' called something like 'Intuit Health Portal Exchange' and print the handout. Also, I have an obs term that I set to “TRUE” if the patient is signed up for the portal or “FALSE” if not signed up.

 

I want to be able to print handouts to a physical printer if this obs term is “FALSE,” and print them to the portal exchange virtual printer if the obs term is “TRUE.”  Does anyone know of a way to dynamically choose a printer with MEL?  I don't think you can specify a printer with PRINTHANDOUT() or NEWHANDOUT().

Can someone give us suggestions regarding the best patient portals that exist out there?  Appreciate any advice and suggestions – Thank you very much!

e-Forms Workflow

Hi everyone,

Can anyone who is currently allowing patients to fill out e-Forms on Kryptiq's Patient Portal for things such as ROS, PMH, and Risk Factors provide some insight on their workflows? Specifically:

- Do you have these documents come in as unsigned or signed documents?
- Do you map their answers to “Pt. Reported” obs terms or the same obs terms captured in the OFV?
- Did you create a form to populate the patient's answers to be reviewed by the Provider prior or during the visit?

- Did you find that allowing patients to fill out e-Forms streamline the check-in/rooming of the pt.?

Any insight is very much appreciated.

Patient Portal/Secure Messaging

I would love to hear from someone who has gone through the same problems I am having right now…

 

PPSM has been installed for a few months now and has never gone live. We have a range of multiple external ip addresses. XXX.170 – XXX.174. Our Firewall is using XXX.170 and we were planning on using XXX.171 for use with ppsm. We have it registered with our ISP and domain registrar to resolve portal.gaspa.com to xxx.171.

 

Here is the issue:

I apply a rule on our firewall for XXX.171 to resolve to the internal ip address for the server running ppsm. As soon as I apply this rule the server is unable to browse the internet and we are unable to browse to the portal website. I am however able to ping say google.com from the server in question.

 

I have taken a laptop and configured it to use the XXX.171 address directly with no problems at all. So we were told it must be issues with the firewall.

 

Last night we had the firewall replaced with a brand new beefy Cisco ASA and the same issue remains.

Get some clipart or icons on your patient portal! Here is a reference guide that will help!

Here is a helpful guide to get free clipart and to resize it for your patient portal.  This reference guide is only intended to show you how to get clipart and resize so it looks nice on your portal.  It does not mention any specific portal or instructions on importing the clipart to your portal.

 

FastStone Image Resizer Reference Guide

  1. Once prepared, open the FastStone Photo resizer
    and click on the ellipsis button to select the source folder where you are
    storing your clipart.
  2. Highlight the clipart(s) you would like to resize and click the Add=> button to add them to the input list.
  3. Double check the output format is JPEG in the lower right side of the screen.
  4. Choose the output folder where you want your resized icons to go.  Click the browse button if needed.
  5. Uncheck the Rename box if you don’t want FastStone to automatically rename your icons.
  6. Click the Advanced Options button.
  7. Checkmark the Resize box.
  8. In Pixels > choose 160×120 from the standard size dropdown.  Select OK.
  9. Click the Convert Button in the lower right side of the screen.
  10. Click Done and go look at your new clipart in the folder you saved them in.

EMR SUPPORT ANALYST

 JOB TITLE:  GE Centricity EMR Support Analyst

 

Summary:

This position will be responsible for providing support and training for the EMR Program.  

 

Essential duties and responsibilities:

  • Assist Director of APNY Client Operations with implementation of GE Centricity EMR Product.
  • Develops/assists with training through the development of training tools and training of staff.
  • Set up training schedules and conduct training sessions.
  • Assist in system setup and daily maintenance.
  • Design, maintain, and revise clinical tables, master files, screen menus, etc.
  • Evaluate clients’ workflows, documents and procedures for implementation and customized training.
  • On-site/Remote support and issues triage/resolution for clients during implementation and specifically when clients “go live”.
  • Conduct off-site visits to client offices mainly located in Nassau, Suffolk and Queens. Approximately 45% travel (few overnight stays)
  • Some night and weekend remote support required.
  • Perform other related duties as required.

Qualification/Requirement:

  • Computer skills, including experience in Word/Excel.
  • Excellent interpersonal skills.
  • Must excel customer service skills.
  • Strong Independent worker.
  • Critical thinker with an eye for detail.
  • Medical industry experience required.
  • Some EMR/EHR experience required. GE Centricity EMR experience a plus.
  • VFE experiance major plus.
  • Associates degree minimum requirement

Patient Portal MU2 certification

We currently are on EMR 9.5, use Kryptiq for secure messaging, but have a home grown portal.  I'm interested in learning if anyone else has had experience getting MU2 certification for your own portal.

Medfusion Patient Portal & CPS 12

Are there any groups that are currently using Medfusion as their patient portal? We just installed this portal and are in the testing phase, and trying to figure out how to send the Clinical Visit Summary electronically to the patient. The only way we've been able to send it so far, is just attaching it to a secure email message.

Can someone help or provide instructions on how to do this? We are trying to be fully implemented by 10/1.

MEL help for History View

I'm trying to create a history view that will show the most recent document that came in from the patient portal.  The document type is Secure Msg.  However, I cannot find any MEL data symbols that will allow me to pull in the list of documents in the patient chart.  Is there some way to run an external script (runtextprocess?) from the history view that will allow me to bring in the list of documents in the chart?  I can probably figure out how to get what I need once I bring in the list.

Kryptiq Portal and Sending Documents

Good Day,

 

It was very nice to meet many of you at the recent CHUG in Las Vegas. We are in the process of rolling out the Kryptiq Patient Portal and come up with a significant snag. When sending out documents from the EMR to the portal it is coming over as a non-secure word or rtf format. We have additionally been told that having a PDF sent over to the portal from EMR is not possible with out a number of complicated steps.

 

Does anyone have any expeirance with this? I would love some help.

Kryptiq Family Management

Hi all,

Is anyone out there using Kryptiq's Family Management for the Patient Portal? We are in the process of developing our policies and procedures prior to implementation and want some feedback/ideas on what other organizations are doing with Family Management.

Are you allowing multiple Portal accounts to link to one chart? For example, mother and father want to be involved in their child's care. Both want their own separate portal accounts and want to link their child's chart to their account. If not, how are you explaining the policy to parents/caregivers?

SMPP 6.2.x – Post Upgrade Bugs

Hi folks,

We upgraded our portal to 6.2.x in June and noticed a hit to the performance on the portal website. Users are getting inpatient when they are verifying their identity online and selecting the “Verify” button multiple times before it is processed. There is also a delay when users are submitting an e-Form.

 

Another big bug is within the EMR Messaging tab. We have script errors appear when we try to use the Save to EMR button. Each time the script error appears, it saves a dup copy to the chart/Provider Desktop.

 

Anybody else experiencing issues with 6.2.x?

Collecting patient emails – best practices

Hello,

I'm looking for best practice suggestions as our organization starts collecting email addresses as part of the patient registration process for new and existing patients(i.e., what has worked and what did not work).

We are in the initial planning stages of implementing our patient portal. The decision was made not to collect email addresses when we first implemented the the practice management side (June 2013). The concern was that it would create patient confusion since we did not have a patient portal at that time nor did we have an anticipated implementation date.

Collecting an email address can be a touchy subject. I'm just curious if anyone has examples of what worked well in the opt-in approach of collecting. Or, perhaps someone has an example of what did not work well. Certainly one key would be to provide clear and concise information about why we are asking for the email address and present it as an enhancement to the patient experience.
